Program Guide Step Five

Planning and Hosting Activities

Now for the fun part! You will coordinate the promotion, hosting, evaluation and story sharing of your chosen activities!

Activity considerations:

  • Activities must be accessible and welcoming to all.

  • Activities cannot profit your organization financially.

  • If your event is going to take place on neighbourhood streets, parks or other places, please obtain appropriate permits and liability insurance before your start date.

  • To foster inclusivity and safety, events are to take place in public venues. Private (home) gatherings are not encouraged.

  • When promoting or sharing photos from an event, ensure you have proper consent

Budget Considerations:

  • Grant money may be used to pay people for services to help with the project. Examples may be a caterer, an elder or knowledge weaver.

  • When creating a budget, you should determine the actual costs of the items used and think resourcefully about how to obtain extra materials through borrowing or donations.

  • Circulate the money, as best you can, in your community with services, merchants, growers, and makers.

  • Please be environmentally conscious in your purchases.

  • You must begin your project after the granting decision is made. Activities are not supported retroactively.

  • You are responsible for keeping expense receipts to account for all project costs.

Evaluation:

For each activity you host, you will be asked to survey the audience for effectiveness.

Sharing your story:

We ask for a 300-500 word story about the activity. People reading your story will want to know how you planned the event, how you solved challenges, who was involved and what you learned. We ask for at least one photo. Video clips also welcome. Contact us for more details.
